Hotel digital signage: lobby welcome, events boards, wayfinding and amenities that stay current

Hotel digital signage puts the welcome, today's events, the amenities and the way to every room on the screens guests pass: the lobby, the lifts, the conference wing and the bar. Your AI agent keeps each one current and tells you when a screen drops.

Updated

  1. You

Harbour House's lobby screen should greet guests by the time of day, list today's groups with their rooms, show the pool, gym and restaurant hours, and carry a QR code to our guest guide. After 11 pm only the Wi-Fi code and tomorrow's breakfast hours. The conference wing needs a board of every room.

  2. Agent

Done. The lobby greets guests, lists the day's groups, shows the amenities with what is open now and carries the guide code. From 11 pm it switches to the Wi-Fi code and the breakfast hours. The conference wing shows every room as free, starting soon or busy. I checked a screenshot from each screen before telling you.

03 Digital lobby signage

Digital lobby signage

A lobby display is the screen at the entrance that welcomes guests and answers their first questions. It earns its place by being useful within a few seconds, so a good lobby loop is short.

  • A welcome. The Welcome board greets guests by the time of day and lists today's named visitors with their company, a note and the time. A hotel can use it for the groups and meetings the sales team approves for a public screen.
  • Today. Events shows what is on now, what is next and the agenda for the coming days from a calendar.
  • The way in. Wi-Fi shows the network and password beside a scannable code, and Concierge connects guests to your guide with one scan.
  • The occasion. Greeting puts the coming holiday's greeting over a themed scene, such as snow, lanterns or fireworks.
  • Proof. Reviews shows your overall rating and selected reviews, and a Google reviews source can keep it current.

04 Events and conference boards

Events and conference boards

A hotel with meeting space has a second audience: the people who came for an event. The Conference schedule shows a multi-track programme room by room, with now and next, speakers and time remaining, and the full day on a timeline marked at the current time. A Room board shows every meeting room as free, starting soon or busy, and a door sign outside each room shows what is on and what is next. Meeting room digital signage covers calendars from Microsoft 365, Google Workspace and any ICS address.

When a group changes rooms, your agent changes the data once, and every screen that shows it updates without republishing the playlist.

05 Wayfinding and amenities

Wayfinding and amenities

Guests ask the same questions all day. The Amenities app shows the pool, gym, coffee bar and restaurant in an icon grid with their hours and what is open now, with overnight hours and temporary closures set once. A Directory lists the floors and suites, and Wayfinding draws arrows with walking times. Wayfinding and digital directories has the whole picture. Parking guidance points drivers to the first available zone from the counts you supply, and needs no vehicle or visitor identity.

06 Restaurants, bars and breakfast

Restaurants, bars and breakfast

A hotel's restaurant is a menu board. Breakfast, lunch and dinner each get their own playlist, switched on the screen's own clock by day and hour, and happy hour shows its windows with a countdown. Digital menu boards covers the menus, prices and sold-out items.

07 Staff screens

Staff screens

A back-of-house screen is for the team. Who's on shows who is on shift or on call with the time left and who starts next, the Duty rota rotates weekly duties through the team, and Announcement carries notices that end by themselves.

08 Screens that look after themselves

Screens that look after themselves

A lobby screen that goes dark at 2 am is a problem nobody sees until a guest does. Three things keep a hotel's screens running.

  • They sleep and wake on a schedule. A display schedule puts screens to sleep at night and wakes them in the morning, even when they are offline.
  • They keep playing when the network drops. Each Player downloads its content once and replays it from the device's own storage. Pages that need live data, such as a web page or a stream, still need the connection.
  • You hear about a problem. Every project starts with an email to its owner when a screen has been offline for 10 minutes, and notifications can cover more: a lost display connection, a hot device, a blank or frozen picture. Watch the hotel film for an agent that brings a dropped lobby screen back at 2:14 a.m.

09 Hotel signage questions

Hotel signage questions

What should be on a hotel lobby screen?

Three or four pages: a welcome, today's events, the amenities with their hours and a code for Wi-Fi or your guest guide. Keep each page to one message that reads across the room.

Does it connect to our property management system?

screenRIG has no built-in connector for a property management system. Your system can export a sheet, a CSV file or a JSON address that a data source reads every 5 minutes, or your agent can write what guests may see to the app. Supply only what is fit for a public screen.

Can guests interact with a screen?

A QR code takes a guest to your guide, your Wi-Fi or a feedback page on their own phone. For a touch screen, your agent can build a kiosk app on an Android or BrightSign screen: see kiosk software.

Can one agent run several properties?

Yes. Give each property's screens a tag or a screen folder, and a request names the tag or folder. Limiting each manager and agent to their own property's folders is an Enterprise feature, and permissions and pricing cover it.

Which screens can a hotel use?

Any screen with a Player: a TV with Google TV or Android TV built in, an Amazon Signage Stick, a Raspberry Pi, a Mac, a Windows PC, a Samsung or LG signage display, a BrightSign player or any browser. Players lists them.

What does hotel digital signage cost?

screenRIG is free, with unlimited screens. Paid plans add business tools, more people, people to talk to, governance and contract terms. See pricing.
